Client Liaison and Administration Officer

Veterans Care Association is seeking a Client Liaison and Admin Officer to manage applicants and participants on Timor Awakening programs and support a range of administrative functions for the charity.

About Us. Veterans Care Association (VCA) is a Brisbane-based not-for-profit charity, raised, and run by veterans. VCA’s main effort, the Timor Awakening program, is a residential wellbeing program open to all veterans, current serving ADF, and family members. Programs are run in Timor-Leste, the Gold Coast and Perth. Since 2016, VCA has conducted 19 programs in Timor-Leste and 12 programs on the Gold Coast. The aim of Timor Awakening is to prevent veteran suicide and promote wellbeing for ADF members, veterans and their families.
About the Role. This is a permanent part-time role (minimum 12 hours per week) based in the Brisbane CBD, with the flexibility to work 1 day in the office and negotiate remote hours. Working from outside Brisbane will be considered. The key responsibility will be communication with applicants and participants for Timor Awakening programs, with additional administrative support for the charity.
Employee Benefits. Social and Community services employee award, pending qualifications and experience (pay range level 2.1 $33.41/h – level 3.1 $37.35/h).
As a not-for-profit entity, our employees can package up to $18,549 p.a. of their taxable income before your income tax is calculated. Up to $15,900 p.a. on everyday expenses (such as mortgage payments, rent, groceries, bills and insurance) plus up to $2,649 p.a. on meal/entertainment benefits.
Key Responsibilities
Manage calendars, appointments, meetings, and travel
Coordinate end-of-month invoicing and timesheet reconciliation
Assist with contract management and client liaison
Support recruitment, onboarding, and HR compliance
Maintain licences, insurances, and internal policy records
Assist with social media scheduling and event coordination
Drive process improvement and support change initiatives
About You. You're a highly organised, self-starting professional with strong attention to detail and a passion for enabling team success. You have a track record of leadership, a strong understanding of operations management and excellent communication skills. You bring a people-first mindset, care, compassion, and a willingness to roll up your sleeves in a hands-on, fast-paced environment.
You’ll have:

Your days will be diverse and will include:
Answering inbound and making outbound calls, emails and client enquiries;
Understanding and actioning a diverse range of client requests and queries;
Managing information in line with accreditation standards and providing administrative support to the team, including compliance reporting;
Actioning client, stakeholder and staff enquiries, referrals, booking confirmations and cancelations. Coordinating client/staff flight bookings.
Excellent interpersonal skills are part of your expansive repertoire enabling you to effortlessly build rapport with people. You are highly approachable, an adept problem solver, and someone who has genuine care and empathy for positive client outcomes.
Development of organisational social media, website and marketing materials.
Your experience and qualifications for the role should also include:
Certificate III in Business Administration, or equivalent expertise and experience;
Previous experience in people management, happy and positive people skills.
The ability to receive client feedback, resolve, refer and report any issues;
The capacity to understand and explain a range of services in a timely manner.
Desirable:
Knowledge of finance systems (e.g., Xero) and payroll processes
Experience with Australian military members and veterans/families.

As the Chief Operations Officer, you’ll be at the heart of our day-to-day operations, developing and implementing operational strategies, and ensuring alignment with organisational goals. You’ll work closely with our President, Committee and volunteer team, providing essential administrative, financial, and compliance support, while also contributing to people, culture, and business improvement initiatives.
This is a permanent part-time role (minimum 22.5 hours per week) based in the Brisbane CBD, with the flexibility to work in the office, on occasion, and negotiate WFH. You’ll work across multiple areas including operations, finance, compliance, HR, and communications. There will be agreed upon periods of surge work in support of Timor Awakening Programs.
